How Purchase Managers Should Compare Vendor Offers

A structured approach to comparing quotations beyond price.

When comparing vendor quotations, normalize every offer to the same basis: cost per print at your actual production volume, not the vendor's assumed volume. Request itemized consumable costs (not bundled), ask for documented AMC/service costs, and independently verify service response time commitments with existing customers where possible.

Always request a 3-year and 5-year total cost of ownership projection from each vendor using your own volume and shift data, and compare like-for-like rather than relying on headline machine price.
